Accepting Job Offer Letter-Job offer letter is an agreement between an organization and a job seeker who may have passed an interview and willing to work for the company.

It is the duty of the Human Resources Department to write a contract agreement between the potential staff and the organization.

The contract agreement is always carved out from the company’s hand book stating the resumption and closing time of the new employee and as well the annual take home salary of the new employee.

After presenting the contract agreement to the job seeker, a time frame is usually given for the job seeker to go through the agreement papers. If the job seeker likes the terms and conditions stated on the contract paper and he/she is okay with the annual take home salary and terms and conditions of the job, then the person will proceed to accepting the job.

Duties/Responsibilities

Office Supplies/Maintenance:

  • Raise requisitions for office stationeries and handle disbursement to requesting offices.
  • Handle the inventory of all office supplies to ascertain need for subsequent purchase.
  • Raising requisition for monthly cleaning supplies for the GM’s office, MD’s waiting room convenience and the general office.
  • Raising goods received note (GRN) for all received/purchased items.
  •  Receive and transfer materials with proper transfer documents to requesting sites with GM’s signed approval.
  • Daily office walk through to determine areas to engage cleaners in the event of improper cleaning, security uniform checks and gardening activities.
  • Supervise all diesel supply in Head office.
  • Logging in disbursement for the cleaning supplies and monitoring usage with the Cleaner/Gardner.
  • Handle issues concerning electrical fence maintenance.

Office Equipment Maintenance:

  • Work with the maintenance officer to supervise the maintenance of Generator in the office.
  • Coordinate repairs of air conditioners in the office and maintain records
  • Maintain records and coordinate repairs of computer systems in the office.
  • Coordinate contract maintenance agreement with maintenance providers for the office equipment (printers, copiers)

Vehicle Matters:

  • Filing fuel reports for the month as received from the maintenance officer.
  • Shared duty with the maintenance officer in logging drivers fuel records according to mileage, amount and date and monitoring of same.
  • Maintain records for renewals of all vehicle particulars, (Road worthiness, Hackney Permit, Particulars etc)
  • Liase with the office mechanic for repairs/maintenance of all vehicles in the head office.

Leased Staff properties/Company inventory:

  • Maintain adequate inventory for all staff leased houses, household items and reconcile rent renewals.
  • In charge of and keeping record of all company assets, household furniture and fittings etc.

Insurance:

  • Maintain Project Insurance files for all projects (CAR Insurance)
  • Maintain and distribute update on all project and vehicle insurance
  • Coordinate new insurance or renewal with company approved insurance companies for upon the approval of the MD or GM.
  • Process all insurance claims for vehicles, CAR (project) and properties.
  • Maintain property insurance files and ensure submission for renewal as necessary for Burglary and fire policies and attend to claims in respect of same.

Others:

  • Supervise the printing of all company booklets, flags, stickers etc.
  • Waterboard issues relating to our main Yard.
  • Coordinate with the lawyer on all matters of tenement rate with regards to our building.
  • Any other duty/ies that will be assigned to you by management.

In reference to the above mentioned subject matter, your application and subsequent interview with our management in respect thereof, we are pleased to offer you a one year contract employment as security in our Project Site with effect from 1st June, 2021 to 30th May, 2022

The duration of this contract is relative to the duration of the project to which you have been assigned. At the expiration of the project, the company retains the right of whether or not to renew the appointment.

Your working hours remain as is presently being operated within the security unit of the organization. Management will brief you on new developments when necessary.  The terms and conditions of the contract are as follows:

  1. The company reserves the right to transfer you from one project to another in any part of the country.

Your responsibilities shall include the following:

  1. Guard, patrol or monitor premises to prevent theft, violence or infractions of rules.
  2. Answer alarms and investigate disturbances.
  3. Patrol project premises to prevent and detect signs of intrusion and ensure security of doors, windows and gates.
  4. Monitor and authorize entrance and departure of employees, visitors and other persons to guard against theft and maintain security of premises.
  5. Write reports of daily activities and irregularities, such as equipment or property damage, theft, presence of unauthorized persons or unusual occurrences.
  6. Call police or fire departments in the case of emergency, such as fire or presence of unauthorized persons.
  7. Circulate among visitors, patrons and employees to provide order and protect property.
  8. Answer telephone calls to take messages, answer questions and provide information during non- business hours or when switchboard is closed.
  9. Warn persons of rule infraction or violations, and apprehend or evict violators from premises, using force when necessary.
  10. Operate detecting devices to screen individual and prevent passage of prohibited articles into the restricted area.
  11. Inspect and adjust security systems, equipment and machinery to ensure operational use and to detect evidence of tampering.
  12. Monitor and adjust controls that regulate building systems such as air conditioner, generators etc.

CONTRACT APPOINTMENT AS EXECUTIVE ASSISTANT TO THE MANAGING DIRECTOR (EA TO MD)

In reference to the above-mentioned subject matter, we are pleased to offer you a one-year contract employment as EA TO MD at our Head Office (Abuja) with effect from Monday 21st June, 2021 to Monday 20th June, 2022 on the terms and conditions contained herein.

The terms and conditions of the contract are as follows:

  1. The company reserves the right to transfer you from one project to another in any part of the country.
  2. Official working hours shall be eight (8) hours per day, commencing from 8:00am in the morning to 5:00pm (WAT) with one-hour break (between 1:00pm-2:00pm).
  3. Official working days are Monday through Friday and Saturday from 9:00am to 1:00pm. There is work on Saturday with resumption from 9:00am to 1.00pm.  In case extra hours are required, Management will compensate you based on the extra hours spent and at the applicable rate.
  4. This contract is renewed automatically at the expiration of one year if the Management is satisfied with your performance.
  5. The Management before the expiration date may terminate this contract of employment, if the set targets are not met as agreed in your Job Description (JD) and Key Performance Indicator (KPI), this will mean that your services are not satisfactory. This will be without notice or payment in lieu of notice.
  6. Salary: Your salary shall be N150,000.00 (One Hundred and Fifty Thousand Naira) only per month i.e., N1,800,000.00 (One Million Eight Hundred Thousand Naira) only per annum.
